Prevent and Remove Outlook Duplicate Items

Duplicate items are a common issue that most Outlook users will encounter from time to time. There are many things that can cause Outlook items to become duplicated, but two of the most common causes/sources are:

Outlook’s email account and/or rules settings
Syncing Outlook with other applications and/or devices (Phones, PDAs, ect.)

Outlook Duplicate Prevention

If you’re Outlook emails are continuously duplicating then it is highly likely that you have a rule or setting within Outlook that is causing emails to become duplicated. Here are a couple of things you may want to try in order to prevent this from happening over and over:

Temporarily disable or remove your rules [Tool | Rules and Alerts]. If one or more of your rules were causing the duplication, your Outlook items will no longer get duplicated.
Temporarily disable the “Leave a copy of messages on the server” setting in Outlook, if you are currently using it for one or more specified email accounts [open your email account(s) | More Settings | Advanced | Leave a copy of messages on the server]. Again, if this is the source of the Outlook email duplication, your Outlook items will no longer get duplicated.
3. Delete one or more of your Outlook email accounts, and re-add it. We’ve read reports that the settings for an email account in Outlook can become corrupt, and the act of removing and re-adding them can correct the associated issues with an email account’s corruption.

If you have other Outlook items such as Contacts, Appointments, and/or Tasks that are continuously duplicating it is highly likely to be due to a PDA device synchronizing with Microsoft Outlook. Again, using the process of elimination, temporarily disable the device(s) that synchronize with Microsoft Outlook and see if the problem persists. If you find that your Outlook duplicate issue is caused by the synchronization of a device the first thing you’ll want to do is check to see if the device manufacturer has released an update of their Outlook synchronization software. If not, you may also want to check the device manufacturer’s online support knowledge base (if one is offered). It’s highly likely that other users have experience the same issue and the solution may be documented. If all else fails, you may want to try to uninstall and re-install your device’s Microsoft Outlook sync software.

Finally, if you are using any Microsoft Outlook addins it’s possible that one or more of your addins may be causing Outlook duplicate items. You can follow the same process of elimination as documented in the previous paragraph.

Removing Outlook Duplicate Items

There are methods for deleting Outlook duplicate items: manually or programmatically. Manually simply means that you select the duplicate entries and delete from within the Microsoft Outlook Interface, while programmatic deletion entails the use of a special program that finds and removes the Outlook duplicate items for you.

How to manually delete Outlook duplicate items

Use the following steps to duplicate items:

In Outlook 2007 and in Outlook 2002, point to Current View on the View menu, and then click to change the folder view to a table type view. In Outlook 2003, point to Arrange By on the View menu, point to Current View, and then click to change the folder view to a table type view.
Right-click a column heading, and then click Field Chooser.
From the list at the top of the Field Chooser, click to select the All fields.
Drag the Modified field to the table heading.
Verify that the duplicate items have a unique date from the original set of items. If it is unique, click the Modified heading so that the items are sorted by this field.
Click the first item in the set that you want to delete, scroll to the last item in the set that you want to delete, and then click the last item while you hold down the SHIFT key.
Press DELETE to permanently delete all selected items.
